Vendor policy

Who can list
Build My Moment LLC welcomes professional event service providers who operate legally in Missouri and serve at least one of our covered cities: Kansas City, St. Louis, Columbia, Springfield, or Jefferson City. We currently support sixteen vendor categories: DJs, Caterers, Photographers, Videographers, Bounce Houses, Photo Booths, Live Bands, Magicians, Face Painters, Balloon Artists, Fire Performers, Florists, Venues, Food Trucks, Bartenders, and Event Planners. To list, you must be at least 18 years old, have authority to enter contracts on behalf of your business, and agree to these vendor policies and our Terms of Service.
Verification
During onboarding, vendors confirm business information and, where relevant to category, attest to holding required licenses, permits, and liability insurance. Build My Moment may request documentation at any time. We plan to offer access to discounted partner insurance rates; we are not an insurance carrier and do not issue policies directly. Profiles that cannot be verified or that misrepresent credentials will be removed.
Content standards
Profiles, packages, portfolio media, and messages must be honest, original, and respectful. The following are prohibited:
- Stock photography or third-party imagery presented as your own work.
- Obscene, sexually explicit, or violent content.
- Hate speech, harassment, threats, or discriminatory content.
- Copyright or trademark infringement.
- Misleading pricing, hidden fees, or off-platform solicitation that bypasses the booking fee.
- Personal contact information embedded in public profile fields meant to bypass platform messaging.
Repeat or severe violations may result in suspension or termination, as described below.
Service quality and response-time SLA
Vendors must respond to inbound booking requests, messages, and support inquiries within 24 hours during business days. Promptness is the single best predictor of booking conversion and review quality. Vendors must arrive on time, fully equipped, and prepared to deliver the booked package. Any change in scope or schedule must be agreed in writing through the booking thread.
No-show and cancellation penalties
A no-show, defined as failing to appear at a confirmed booking without prior notice, is the most serious vendor violation. The consequences are:
- The planner receives a 100% refund of the deposit and the $25 booking fee is waived.
- The vendor account is suspended pending investigation.
- A second confirmed no-show within twelve months results in permanent removal from Build My Moment.
Late cancellations within seven days of an event, except in documented force-majeure cases, may result in account warnings, reduced search ranking, or suspension. Genuine emergencies should be reported immediately to buildmymoment@gmail.com so we can help coordinate with the planner and minimize harm.
Review integrity
Reviews on Build My Moment must reflect a real, completed booking from a verified planner account. Vendors may not solicit, write, or pay for fake reviews; trade reviews with other vendors; offer discounts in exchange for positive reviews; or retaliate against planners who leave honest feedback. Vendors are encouraged to respond to reviews professionally; they may flag reviews that violate community standards or contain demonstrably false statements. We moderate flagged reviews and take action where appropriate.
Payments and the $10 Pro subscription
The Pro listing costs $10 per month, with the first month free, and is the only subscription tier on Build My Moment. There are no commissions on bookings. For each confirmed booking, planners pay a 50% deposit through PayPal. Build My Moment retains a flat $25 booking fee per deposit and routes the vendor share through the PayPal Payouts API. The remaining 50% is paid by the planner directly to the vendor at the event.
Vendors must keep their PayPal payout email accurate. Subscription renewals are automatic until canceled. Failed subscription payments will pause your listing until resolved. Refund handling is described in our Refund Policy.
Suspension and termination
We may suspend or terminate a vendor account for cause, including but not limited to:
- Confirmed no-show or repeated late cancellations.
- Sustained low ratings (an average below 3.0 across five or more reviews).
- Expired or invalid licenses, permits, or insurance representations.
- Fraud, deception, or misrepresentation of credentials or services.
- Harassment, discrimination, or abusive behavior toward planners, guests, or staff.
- Attempts to circumvent platform payments or solicit off-platform.
- Unpaid subscription charges or unresolved chargebacks.
Appeal process
If your account is suspended or terminated, you will receive an email explaining the reason and the available next steps. You may appeal by replying within fourteen days with any supporting documentation. Appeals are reviewed by a member of the trust and safety team who was not involved in the original decision. We aim to issue a written decision within ten business days. Decisions are final unless new evidence is presented.
Looking ahead
Build My Moment plans to expand with regional equipment rental hubs and additional vendor benefits. As these features launch, vendor obligations may grow to cover equipment care, safety checks, and damage handling. We will publish updated terms with reasonable notice before any new requirement takes effect.
